We know there are questions. Please see below for answers to the most frequently asked questions.
Q: Why change Texas EMS Conference to a completely virtual conference?
A: The health and safety of our attendees, exhibitors, staff, volunteers, and others involved with producing Texas EMS Conference are our top priorities. Although we would all love to meet, network and socialize at Texas EMS Conference, at this time we do not feel this is a viable and safe option. With the current COVID-19 situation, including social distancing requirements in the convention center and hotels, it is impractical to hold a live event on the usual scale of Texas EMS Conference. We are excited to make Texas EMS Conference 2020 happen as a virtual event! And of course, we look forward to seeing everyone in person at Texas EMS Conference 2021 in Austin.
Q: Will I receive the same quality experience at Texas EMS Conference 2020 – Virtual?
A: Attendee and exhibitor experiences at Texas EMS Conference 2020 – Virtual will certainly be different, but we are excited about the opportunity to connect and learn in new ways. We will offer the same excellent education and wide variety of exhibitors you have come to expect at Texas EMS Conference.
Q: If I am already registered for Texas EMS Conference, do I need to register again for Texas EMS Conference 2020 – Virtual?
A: No. If you were already registered for Texas EMS Conference, your registration is automatically converted to a virtual conference registration.
Q: If I am currently registered and do not want to attend a virtual conference, can I request a refund?
A: Yes. We understand that things have changed, and you might not be able to participate in a virtual event. If you would like a refund, please email your request, complete with the primary name of registered attendee, to firstname.lastname@example.org. Full refunds will be given to attendees who registered prior to August 13, 2020. The deadline to request a full refund is September 15, 2020. If you have not requested a refund by September 15, 2020, any attendee refund will be subject to a 20% administrative fee. Please note that refunds will be processed as soon as possible, but may take up to 30 days.
Q: What if I already made a hotel reservation at one of the Texas EMS Conference hotels? (Omni, Hilton, Sheraton, Embassy Suites, Marriott Courtyard)
A: If you reserved a room at the conference rate with one of our partner hotels, we encourage you to contact the hotel directly to ensure your reservation has been automatically canceled. It is your responsibility to confirm any hotel reservation cancellations.
Q: How will Texas EMS Conference 2020 – Virtual work?
A: We will utilize an online platform established by a professional audio/visual provider to organize and present Texas EMS Conference 2020 – Virtual. Through this collaboration, we are excited to offer great quality education, as well as new experiences and interactions with exhibitors through a completely customized virtual platform. Education sessions will be pre-recorded and delivered at their scheduled time with a unique chat feature so you can connect directly with the presenter during the session.
As a registered attendee, you will receive a unique username and password before the start of the Conference. This username and password will be used to access Texas EMS Conference 2020 – Virtual. Once logged into the virtual platform, each attendee will be able to navigate and have access to the General Session, all education sessions, as well as the Virtual Exhibit Hall. Each attendee’s unique login ID will be used to track digital movements throughout the platform and will be used for tracking continuing education credits.
Q: When will Texas EMS Conference 2020 – Virtual be offered?
A: Texas EMS Conference 2020 – Virtual will still be held during its originally scheduled dates of November 23-25, 2020. The education session arrangement may change slightly to accommodate the virtual platform, but Texas EMS Conference 2020 – Virtual will still follow a familiar structure. Q: What if I am unable to attend the entire time during Texas EMS Conference 2020 – Virtual?
A: If you are unable to participate and view Texas EMS Conference 2020 – Virtual in its entirety, you will be able to view any of the education sessions On-Demand after the Conference. All registered attendees will be allowed to access the platform, view sessions and receive up to 22 hours of continuing education through April 30, 2021. So, if you miss a lecture, don’t want to choose between two great presenters, or simply can’t be available for the entire virtual conference, you still have access to those education sessions after the event.
Q: What if I am registered for a pre-conference course at Texas EMS Conference 2020?
A: We will be offering some pre-conference courses at Texas EMS Conference 2020 – Virtual. At this time, we are determining which pre-conference courses are adaptable to the virtual platform. If your pre-conference course is offered, your registration will automatically be rolled to the virtual conference. As always, a pre-conference course registration will include access to the virtual exhibit hall.
If the pre-conference course you are registered for is not adaptable, you will have the choice of rolling the paid funds to another pre-conference course or to a full conference registration, or you can receive a refund. You will be contacted via email with available options.
Q: How will I access my continuing education record after the event?
A: You can access your CE record after the virtual conference. You will be notified with specific instructions on how to obtain your CE certificate. This will include any education sessions attended during Texas EMS Conference 2020 – Virtual as well as those sessions viewed using the Video-On-Demand feature.
Q: What type of internet connection will I need to access Texas EMS Conference 2020 – Virtual?
A: The platform for Texas EMS Conference 2020 – Virtual will consist of streaming videos, chat features, poll questions and other interactive elements during both the education sessions and the virtual exhibit hall. We recommend a download speed around 5 Mbps or higher to fully utilize all of the platform elements. A speed test will be included in the virtual platform to help determine your access speed. If connection problems arise during an education session, you will be able to utilize the Video-On-Demand feature after the event through April 30, 2021.
Q: Will we still be able to visit and network with exhibitors at Texas EMS Conference 2020 – Virtual?
A: You will not miss out this year! Visit the virtual exhibit hall where attendees can see their favorite sponsors and exhibitors, and maybe meet a few more! New-product spotlights, one-on-one video conferencing and chat rooms are just a few of the unique networking opportunities available in the virtual exhibit hall. Attendees will also have opportunities to win great prizes just for visiting the hall. As always, your full conference registration grants you access to the virtual exhibit hall.
